Senior Account Executive - New Business

Job Purpose: Team and Plan Coordinator. Department Resources Hub Manager. Diligent Project Driver.

The New Business Sr. AE works collaboratively with EVP Business Development and Sr. Account Director, New Business to contribute to agency’s revenue growth and ongoing development of a healthy pipeline of prospects. The Sr. AE plays is a critical role in to management and coordination of work for companies: IN & EDGE New Business and Marketing initiatives around three core areas:

  • Agency Marketing

  • New Business Pitch Management

  • New Client Onboarding

The following provides an overview of the responsibilities and duties of the Sr. AE (Please note this is not an all-inclusive list as every project, assignment and pitch comes with unique needs and challenges).

Department Logistics:

  • Total team coordinator, meeting management: scheduling, agenda & recaps, document sharing with internal and external attendees (PACE – Purpose/Agenda/Conduct/Expectations/Roles)

  • Facilitate weekly status meetings, maintain status report on Google Share. Download reports 1x month onto the Server for historical tracking

  • Prepare Monthly Pipeline Report on the AS CRM system for AS, coordinating with other teams.

  • Client lists – quarterly and as needed updates to Google Doc Client List with clients, brands, assignments, tenure, key customers and account leads

  • Respond internal and network requests for material, cases, creds and facts

  • Record notes from client and pitch team meetings including action items and recap of key decision points.

  • Work with finance to open job numbers and coordinate with A/P for invoicing for new business invoices. Secure approval from EVP for pitch costs. Share job numbers with all pitch team members.

New Business Pitch Support:

  • Provide Prospect Company profiles for prospects and distribute to all pitch team members with background information on company, business operations, key executives, agency roster, brands, current digital advertising etc. (Source: Winmo / MOAT / Social media sites, client website)

  • Build and manage overall pitch timeline to keep abreast of critical dates, be proactive in aligning resources to meet deadlines, and communicate timeline to team and follow up with team members to keep work on track across all stages of the new business pitch (RFI to final presentation)

  • Partner with Project Manager for Pitch Creative Assignments. NOTE: PM will calendar and manage creative development timeline (brief through to creative content for decks, internal creative reviews etc.

  • Calendar all pitch team meetings as needed (excluding PM Creative meetings above); providing notes and action items for attendees asap for actioning

  • Workfront/MS Teams:

  • Work with Project Managers to open Work Front job requests, add all team members to the project for time reporting;

  • Open MS Team site with IT and add all team members to the site with Channels for key content areas.

  • Post Working documents on Google or MS Team site for live editing by all contributors for PowerPoint Deck or Word RFI development. Communicate with contributors for deadlines for responses and when document is no longer “LIVE” to move to design.

  • Lead the design and development of pitch room theater and pitch room collateral (banners, table LED lights, notepads, pens, etc.) working with Don Coffey and creative teams as needed for design & production

  • Lead the ideation and development of client thank you gifts or charitable donation, along with design and development of thank you notes, packaging and distribution

  • Coordinate proofreading of all RFI, RFP and Presentation decks

  • Coordinate with Executive Creative Director and Presentation Designer on the design and dissemination of a deck template and design theme to all contributors.

  • For RFIs, provide first draft of existing answers from our RFI library, prepare first draft in WORD with all RFI questions from client source documents.

  • Liaise with our Content Contributors and Smyth for deck updates, setting clear expectation for rounds of revisions and timing of reviews; sharing team’s feedback on deck edits and coordinating with contributors to get information to the designer in a timely manner in advance of deadlines and team reviews. Provide design support as needed for image sourcing, (e.g., headshots, creative work, logos, etc.)

  • (POST COVID) Coordinate and manage pitch room including IT and A/V support, food; Coordinate off-site visit or secure detailed photographs at client offices or conferences centers.

  • Update server and MS Team site with FINAL deck and RFP files:

  • Save new case studies in case studies folder

  • Save BIC examples written answers in RFP Samples and FAQ folders.

  • Save updated creds pages to “Frequently Used Slides”

  • Save new custom content to “Practice Areas”

Marketing :

  • Case Study preparation

  • Liaison with account team leads across our company for new case studies; follow up with Town hall Meeting case study authors to gather additional details and prepare formal case studies in our New Business Template

  • Follow up & coordination with Account teams for additional details as directed for use of case studies in new business pitches (missing results, missing work, missing insights)

  • Coordinate with creative resources and account teams for the development of case study videos (as needed)

  • Agency Credentials

  • On a monthly basis, update and proofread document, creating versions across new clients, customers, cases, updates statistics, etc.

  • Update to competitive review of top agency competitors (client changes, exec changes, new capabilities, press, etc.) as needed

    Client Onboarding:

  • Provide logistical support for the 30/60/90 day transition process. Including: managing weekly onboarding status meeting logistics, agendas & meeting recaps; Updating Master Transition tracker and supporting transition across the following areas:

  • Org. alignment

  • Finance & legal set up

  • Transition from agencies – coordinating asset download with studio

  • Fast Start Promotion planning

  • Team Immersions

  • Ways of working

Demonstrate working knowledge of consumer/shopper marketing landscapes and the client’s own industry to develop new business opportunities and potential revenue streams within existing client

Design and lead proposal and program development presentations with support and guidance from Director

Supervise and/or directly manage program execution, budgets, tracking, and post promotional reporting in accordance with company systems and processes

Contribute to recruiting, hiring, training, and development of direct reports with support of Director.

Partner with Planning team members to develop category, channel, customer and competitive brand marketplace insights, identify most value consumer targets, communication strategy, innovation opportunities, promotion program objectives, strategies and tactical recommendations for programs, leveraging key consumer/ shopper insights that drive purchase behavior change

When relevant, demonstrate thought leadership, channel expertise and strategic integration with client agency partners

Communicate and interact effectively with internal teams for all departments and/or clients to deliver timely client decisions and approvals

Identify cross-company Marketing Svs revenue-driving opportunities

Minimum Qualifications Minimum Qualifications The following are the minimum job-related qualifications which an individual needs in order to successfully perform the essential duties and responsibilities of the job

Education Level: (Required): Bachelor's Degree or equivalent experience

Field of Study/Area of Experience: 2-4 years of experience in the role of leader/manager in agency, brand management and/or media production preferred

5+ years of experience in consumer product, brand management, media or agency experience preferred

Skills, Knowledge and Abilities

Ability to complete multiple duties with accuracy shifting from one to another with frequent interruptions and competing deadlines

Excellent written communication and verbal communication skills

Ability to make oral presentations

Good interpersonal skills

Strong computer skills including proficiency with Microsoft Word, Excel, PowerPoint, Access, Outlook, and web-browsers

Strong prioritization skills

Ability to direct, lead, coach, and develop people

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
